Capacity, not headcount.
Everything an in-house finance hire does, minus the recruitment cycle, the desk, the NI and the notice period.
Bookkeeping & reconciliations
Daily or weekly, inside Xero, QuickBooks, Sage or whatever you run. Books that are always current.
AP, AR & credit control
Invoices raised, suppliers paid on schedule, debtors chased politely and persistently.
Payroll & pensions
Shift rotas, CIS, tronc, multi-site consolidation. Run on time every time, RTI filed.
Management reporting
Month-end close, P&L by site or entity, cashflow and the numbers your board actually asks for.
VAT & compliance
Returns prepared and filed early, MTD-compliant, with a UK-qualified review before submission.
For accounting firms
White-label delivery capacity for your practice. Your templates, your review standards, your letterhead.
The operating model, in plain terms.
The questions every FD asks us, answered before the call.
Who supervises them?
Every team member reports to a UK-qualified senior at Punchhole. Nothing is filed or sent without their review. You get one accountable lead, not a rota of strangers.
Whose systems do they use?
Yours. Your software, your logins with scoped access, your working hours with an agreed overlap. Your data never moves into ours.
What about leave and turnover?
Documented workflows plus a trained cover person from day one. Holidays and departures are our problem to manage, never a gap in your month.
Can we start small?
Yes, and you should. Most clients start with a pilot: one person, a defined slice of work, one month. Commit only when the output convinces you.
How do we track quality?
Agreed SLAs, a weekly output log and a monthly performance report. You see turnaround times and error rates, not just invoices.
Is our data safe?
UK GDPR processing with safeguards in writing, scoped system access, Microsoft Cloud security and full audit trails of who touched what.
From call to live
Live in weeks, not quarters.
Workload assessment
Thirty minutes on your volumes, software and the work you want off your desk. You get a scoped proposal with a fixed monthly cost.
Meet your team
We propose named people matched to your industry. You interview them like any hire. Swap anyone before you start.
Documented handover
Two weeks shadowing your current process, every workflow written down, access scoped and tested.
Run, report, scale
Your team runs the work, a monthly report proves it, and you add or reduce people month to month as volume changes.
What is outsourced finance capacity?
Hiring output, not employees.
An outsourced finance team, sometimes called offshore finance capacity or a dedicated FTE (full-time equivalent), means a named professional or team employed by Punchhole who works exclusively on your business: your software, your processes, your working hours, with an agreed overlap for calls and handovers. You direct the work day to day; we carry the employment, training, supervision, quality review and cover.
It is not a ticket queue, a shared pool or a body shop. The same people work your account every day, a UK-qualified senior reviews everything before it is filed or sent, and documented workflows mean nothing lives in one person\u2019s head.
Roles you can delegate
Bookkeeper, accounts assistant, payables/receivables clerk, payroll administrator, management accountant, or a team lead running all of them.
Systems we work in daily
Xero, QuickBooks, Sage, FreeAgent, Dext, BrightPay, NetSuite and most practice software for accounting firms.
Hours and overlap
Full UK-hours cover or an agreed overlap window. Same-day turnaround is the norm, not the exception.
Data security
UK GDPR processing with written safeguards, scoped logins on your systems, Microsoft Cloud security, full audit trails.
Quality control
Weekly output logs, agreed SLAs, monthly performance reports and a named UK-qualified supervisor accountable to you.
Scaling up and down
Add a person for year-end, drop one after a busy season. Thirty days\u2019 notice, no penalty, no renegotiation.
Questions, answered
Everything people ask before they call.
How is this different from hiring a freelancer?
A freelancer is one person with other clients, no cover and no supervision. Your Punchhole team is employed, supervised by UK-qualified seniors, covered during leave, and contractually accountable through SLAs and a monthly performance report.
Will the person understand our industry?
We match people with experience in your sector before you meet them, and you interview them like any hire. Care groups, construction, e-commerce and multi-site groups are our largest client bases.
Who owns the relationship with HMRC?
Whatever you prefer. Many clients keep their existing accountant for sign-off and use us purely for capacity; others move the whole finance operation, filings included, to Punchhole.
What does onboarding actually involve?
Two weeks, typically: access scoped and tested, your current process shadowed and written into a workflow document, then a supervised parallel run before we take the wheel.
What if the person leaves?
A trained cover person exists from day one because the workflow is documented. We handle replacement and retraining at our cost, with no gap in your month.
Is there a minimum commitment?
No. Start with a one-month pilot on a defined slice of work. Most clients expand after the first month; you are free not to.
UK registered, UK accountable
Your contract is with Punchhole Solutions Limited, a UK company (no. 14414905), with senior review before every filing.
India-powered pricing
Our India back office does the daily work, the same model the Big Four use, so weekly bookkeeping costs what quarterly used to.
Reliability you can check
Filings months early, deadline calendars a quarter ahead, 2,000+ returns filed. One named person who answers the same day.
Start with one person and one month.
Tell us your workload and a qualified accountant scopes it into a fixed monthly figure. Pilot first, commit later.
