How we collect, use and protect your personal data when you use this website. Last updated: 1 August 2026.
1. Who we are
"Punchhole" is a trading name of Punchhole Solutions Limited, a company registered in England & Wales (company no. 14414905). We are the data controller for personal data collected through punchholeaccounting.com. You can reach us about anything in this policy at info@punchhole.co or on +44 7441 347480.
2. What we collect
We only collect what you choose to give us:
- Enquiry and contact forms — your name, email address, phone number, the service you're interested in, and anything you write in a message field.
- Chat widget — the messages you type into the chat on this site.
- Free tool downloads — the email address you ask us to send a tool to.
- WhatsApp call-back requests — the phone number you leave.
- Technical data — our server records your IP address in standard hosting logs and uses it for rate limiting (protecting the site from abuse). We do not use it to identify you.
3. Why we use it
We use your data to respond to your enquiry, send you the tool you requested, provide a quote, and — if you become a client — deliver our services. Our lawful bases under UK GDPR are taking steps at your request before entering a contract (quotes and enquiries) and legitimate interests (responding to messages, protecting the site). We only contact you about your enquiry — we do not add you to marketing lists, and we never sell your data.
4. Where your data goes
- Form and chat submissions are stored in this website's database (hosted with our hosting provider) and forwarded to our team's email inbox so we can reply quickly.
- Our service delivery teams are based in the UK and India. Where personal data is accessed from outside the UK, we apply appropriate safeguards required by UK GDPR, and access is restricted to the people handling your matter.
- We use trusted service providers for hosting and email delivery. They process data on our instructions only.
5. How long we keep it
Enquiry data is kept for as long as needed to handle your enquiry and for a reasonable period afterwards, then deleted. If you become a client, records are kept for the periods required by UK tax and anti-money-laundering law.
6. Your rights
Under UK GDPR you can ask us to: access the data we hold about you, correct it, delete it, restrict or object to how we use it, or provide it to you in a portable format. Email info@punchhole.co and we'll respond within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
7. Cookies
This website does not currently set tracking or advertising cookies. If we add analytics in future, we will update this policy and ask for any consent the law requires first.
8. Changes to this policy
If we change how we handle personal data, we'll update this page and the date at the top. Significant changes will be flagged clearly on the site.
